A vacation rental that turns over weekly has completely different cleaning needs than a single-family home with biweekly maintenance cleans. ShineBook's Seasonal Planner generates month-by-month recommendations based on each client's property type, usage patterns, and the current season. This guide explains how to generate, customize, and share seasonal plans.
What Goes Into a Seasonal Plan
The planner combines three inputs to generate a care calendar:
- Property type — Set on the client's property record (residential, vacation rental, commercial, move-in/out, etc.)
- Service history — Past job frequency and service types inform realistic recommendations
- Current date and season — The plan adjusts based on where you are in the calendar year and seasonal demand patterns
The output is a 12-month calendar with specific actions called out for each month, including the reasoning behind the timing — not just "schedule a deep clean in spring" but "schedule a full spring deep clean in March–April as clients begin hosting guests and before allergy season intensifies."
Supported Property and Service Types
Generating a Plan
- Open any client's profile page
- Ensure the property record has a property type and service preferences set
- Tap Seasonal Plan from the client overview
- Review the generated 12-month calendar
- Make any adjustments based on your knowledge of the client
- Save to the client's record or export as PDF
Plans can also be generated from the AI tab by asking the Cleaning Assistant: "Create a seasonal plan for [Client Name]" or by browsing to AI → Seasonal Planner and selecting a client from the list.
Tip: Generate seasonal plans for all your clients at the start of each year. Even if you don't share them with clients, having a written plan per property keeps you from missing key seasonal service windows like spring deep cleans or holiday preparation.
Spring Deep Clean Season (March–May)
Spring is the highest-demand period for deep cleaning services. The seasonal plan flags this window for each client and helps you prepare:
- Scheduling deep cleans before peak demand fills your calendar
- Restocking supplies (all-purpose cleaners, microfiber cloths, grout brushes) before the busy stretch
- Recommending add-on services like window cleaning and refrigerator detail
- Reaching out to dormant clients who may want a spring refresh
The plan estimates how many deep clean slots you'll need based on your current client list, helping you block time before your regular maintenance schedule fills up.
Summer and Back-to-School Windows
Summer brings increased home traffic for families and peak turnover demand for vacation rental clients. The seasonal plan adjusts frequency recommendations accordingly:
- Family homes: Consider moving from biweekly to weekly during summer school break
- Vacation rentals: Build in buffer time between turnovers during peak travel weeks
- Back-to-school (August–September): Schedule a full clean before school starts, when families reset routines
Tip: Use seasonal plans as an upsell tool. When you present a client with a written year-round care calendar, it makes the value of regular service tangible. Many operators report converting single-service clients to ongoing contracts after sharing a seasonal plan.
Holiday Preparation (October–December)
The holiday season is a second peak for residential deep cleans and a critical stretch for commercial clients. The planner surfaces these windows for each client:
- Pre-Thanksgiving deep clean for entertaining clients (target: early November)
- Pre-holiday clean for December hosting (target: first two weeks of December)
- Commercial year-end cleaning for offices before holiday closure
- Vacation rental surge preparation through New Year's
Each suggestion includes a recommended booking window and a prompt to reach out to the client before your holiday calendar fills up.
Post-Winter Refresh (January–February)
January and February tend to be slower for maintenance cleans but present opportunities for clients who want a post-holiday refresh or preparation for the spring market:
- New Year deep clean for clients resetting after holiday gatherings
- Pre-listing cleans for clients planning spring real estate sales
- Commercial clients with January fiscal year starts wanting a fresh facility
- Catch-up scheduling for vacation rentals in off-season slow periods
Supply Restocking by Season
The seasonal plan includes a supply readiness section that estimates which products you'll need more of heading into each peak period. Before spring deep clean season, for example, you'll typically need higher stock of:
- Heavy-duty degreasers for kitchen deep cleans
- Grout cleaners and tile scrubbers
- Window cleaning solution and squeegees
- Fresh microfiber cloths (higher turnover in deep clean months)
These supply suggestions integrate with your inventory if you've set up the Supply tab, automatically flagging items that may hit reorder thresholds during the busy period.
Exporting and Sharing Plans
Export any seasonal plan as a branded PDF from the client's profile page. The PDF includes:
- Client name and property address
- Property type and service profile
- Month-by-month care calendar
- Your business name and contact details
Share the PDF via email, text, or AirDrop directly from the export screen. This is effective for commercial accounts, property managers, and clients who appreciate documentation of the service plan you've designed for their home.
Seasonal Plan Reminders
When a seasonal plan is active for a client, ShineBook can generate schedule suggestions as seasonal windows approach. For example, when the spring deep clean window is three weeks out, you'll see a prompt in the Dashboard to reach out to affected clients. This keeps critical booking windows from slipping past during a busy regular-service schedule.
